II. Organizational Context
MAHARISHI RAM RAJ TRUST was registered as a charitable trust under India Trust Act 1882 on December 2014 by members inspired and experienced with Vedic Education and Rural Development.
MAHARISHI RAM RAJ TRUST is a unique organization in India. It is established to specifically promote, teach, and conduct scientific research on curriculum and courses of study in Maharishi Vedic Science and all 40 aspects of the Ved and Vedic literature developed over the course of 50 years. This trust is of great importance in assimilating and promoting the world-wide interest and support of the Vedic heritage of India
III. Functions
ADMINISTRATION
Assume the role as the primary point of contact between the executives and internal/external vendors.
Monitor centers and their activities at your level daily as per our given standards.
Establish, implement, and oversee administrative and financial policies and procedures in Center offices.
Conduct research and analysis around the opportunities identified by the Program Lead and those proposed by the management, to establish their relevance.
Payment also verified from your end such as stipend sheet, staff salary, rent, and vendor payment.
Maintain strong relationships with vendors and keep price data to get the best pricing on supplies and services
Coordinate with Head Office, Acharya, and center staff
Delegate tasks as appropriate to other members of the team
Suggest creative and active solutions for problem.
Resolve issues and express ingenuity as required.
Observe all activities and submit monthly or weekly reports to HO Management.
Logistics point
Plan, managed, and evaluated logistics operations liaising with suppliers, Vendors, and transportation companies.
Create and implement best practice logistics principles, policies, and processes across the organization to improve operational and financial performance
Deliver solutions to logistics problems while maintaining high levels of quality and service within budgetary requirements
Monitor quality, quantity, delivery times, and transport costs
Negotiate rates and contracts with Vendors and transportation
Manage Communication-Related Functions. Like collection of bills, Payment of Bill, Providing SIM card and internet connection
Approval of all Purchasing at canter Level within states.
Responsible for the management of Rent Agreement-related documents.
Responsible for the management of Fixed assets, Physical Verifications and tagging of assets.
Ensure that the office equipment is functional and timely repair and maintenance are done.
Provide logistics support during the time of any workshop/training /meeting /conference.
Ensure that the purchase orders are created correctly, relevant procurement procedures have been applied and all supporting documentations are attached
Ensuring that invoices received reconcile to purchase orders and matching
Receipts to purchase orders along with the all the relevant documents before sending it to finance for payment.
Researching and evaluating prospective vendors and consultants.
Assist in the budgeting and planning of the year, preparing cost analysis and reports.
Ensure IT systems in place are effective, maintained and accurate
Ensure metrics, reports, and process documentation is available
Prepration of Consumption Report and other Report
HUMAN RESOURCE
Ensure Data Accuracy of the HR Systems and database and HR analytics. Review attendance report and try to minimize any discrepancy on daily basis.
Ensure that HR documents, like employment contracts, Joining Letter, addendum &Issuing relieving letter should be maintained on Centre level.
Help in payroll management, preparation, and payment information.
Maintain and update internal database and files on administrative HR matters in a confidential and secure manner;
Assist the team of HR specialists with the day-to-day operations of the HR function.
Create and maintain necessary employee databases for use in decision making for various HR processes.
Assist HR officers with the hiring process, including preparing and submitting vacancy announcements, first-level screening of applications, and scheduling interviews.
FINANCE POINT
Ensure accurate recording of finance transactions for state programs as per the accepted principles and applicable laws.
Responsible for checking data on Excel as well as hardcopies and providing feedback regularly to the projects, in accordance with procedures.
Responsible for preparation of Payments of Scholar’s stipend, Rent, Vendors, and supplier Payment.
Admin & HR-related issues and process Payroll and fulfilment of statutory requirements such as Employee Provident Fund, Employee State Insurance, and TDS.
Responsible for maintaining financial records both in hard and soft copy as per organizational requirement.
Preparing financial reports monthly, quarterly and yearly. Ensuring timely reporting to the management
To assist and coordinate Finance activities/processes in all Centers of UP.
Providing requisite information and support for audits.
Oversee all outstanding supplier, customer, and third-party vendor obligations
Process, send, and maintain all bank deposits and invoices
Identify and address discrepancies in all documentation
Update all databases and spreadsheets related to accounting
Provide support and oversight to Maharishi Ram Raj Trust’s finance team
Receive and verify billing and requisitions on any and all goods and services
IV. Programme Implementation
Provide technical input for research studies and implementation plan for the same
Conduct specific research studies related to the projects
Collate and analyze data collected from various sources
Develop written outputs from research initiatives, including reports and summarized data, individual interaction, and ground-level employees
Share research findings of the project implementation with the relevant project manager.
Coordinate and work with other departments and fellow executives to track progress
Coordinate with Program Lead, HR team, and Finance Team to ensure adherence to reporting and payment schedules of planned program activities
V. Key Performance Indicators
Any Graduate. or Post Graduate in Social Work/Development Management will be preferred.
Minimum 5 years of relevant experience working in education or NGO area
Proficient in local language and willingness to travel
Experience in the usage of computers/tablets for data collection and basic report preparation
Passionate to work with Vedic education and institution.
Knowledge of Excel, Word (MS Office)
To effectively manage the performance of the team and conduct performance appraisal of the team members.
