Job Description

Position Summary-Finance Administrator-BJGMC-JHU-CRS.

The Finance Administrator is responsible for providing strategic oversight and monitoring compliance, analysis, and procedural aspects of grant-making and finance at BJGMC-JHU-CRS and ensuring that all practices adhere to both internal policies and procedures and other legal and statutory requirements. This position contributes to BJGMC-JHU-CRS accountability, transparency, and impact assessment through his/her implementation of the highest standard of practice at every step of the grants and finance management process.

Responsibilities:

• Responsible for accounts receivable, accounts payable, cash management, budget preparation, project monitoring and reporting, financial information systems, financial statement preparation, taxation, statutory compliances, and payroll.
• Ensuring internal controls for all the project/Study expenses and smooth & timely payments cycles for all the eligible payments.
• To set internal control mechanisms to be followed by the research team in grants and finance management, thereby ensuring sound financial health;
• Strengthens BJGMC-JHU-CRS capacity to respond to financial challenges and streamlines compliance and accounting procedures so programs can flourish.
• Ensure grants and contract budgets align with institutional budgets and forecasts. Liaise with relevant Heads to ensure that across projects there is financial continuity, consistency, accuracy, and adherence to processes. Inspects and validates that accurate and complete database records are maintained for grants and sub-contracts in an automated Information Management System.
• Closely monitors grant performance with the Sponsors/funder and report it to the SFM and senior leadership for any key findings;
• Periodical alerts to the heads if there is a gap foreseen in the Project finance/grants management and work with a relevant team towards getting the situation under control;
• Ensure that any realignment of activities is financially translated and any gaps with the budgets are highlighted to the program team and agreed with the sponsor/funder.
• Ensure continuous monitoring of the financial health of the Organisation and periodically report it to the Leadership Team;
• Develops financial reports and dashboards related to BJGMC-JHU-CRS restricted & unrestricted revenue and grant-making that informs and empowers the Executive Team to make data-driven decisions and projections.
• Reviews and monitors grants and finance routine operations.
• Works closely with the Senior Financial Manager to build robust policies and systems for Finance.

Qualifications:

• MBA in Finance or PG Diploma with 10 years of experience in handling finance and grants in a not-for-profit/Development Sector organization/Clinical Research units
• At least 6 years of supervisory experience in heading a team
• Possesses extensive experience in handling end-to-end grants and finance management in a non-profit environment with updated knowledge of statutory laws.
• Advanced proficiency in Microsoft Excel, especially with pivot tables, vlookup equations, and management of large data sets, is required.
• Advance Tally Certification is a must
• Discretion in handling sensitive or confidential information.
