Solidaridad is implementing the programme in Maharashtra to improve the livelihoods of smallholder cotton farmers and their families. The initiative proposes to implement an interdisciplinary framework integrating various aspects of sustainability of different existing and innovative ways to support farmers adopt organic cotton production.

Reporting

The position will be reporting to Project Head- Tinsukhia

Key Responsibilities

The position is responsible for managing the finance and administrative functions of our project office in Nagpur where in, the incumbent provides both operational and programmatic support to the organization.

The main responsibility of the Finance and Administrative Officer would include:
A. Regular Accounting Services and Financial Management
B. Administrative Responsibilities

A. Regular Accounting Services and Financial Management

(i) Management of Accounts and Finance Administration
• Regular update, periodical review and maintain books of accounts.
• Prepare Fund transfer requests and cash flow management for the whole programme
• Receive, review finance files from all regional offices and update them in the main system
• Checking of bills received and makes timely payment to vendors.
• Monitor banking activities of the Organization;
• Ensure adequate cash flow to meet the Organization's needs;
• Assist in the statutory audit and audit of financial report to donors and share a periodical report on audit observations and queries and action taken on them to Head Finance & Administration.

(ii) Financial Reporting

• Prepare periodical internal and external financial reports (monthly, quarterly, half yearly and year end procedures)
• Maintain spreadsheets showing spend against budget, monitor, analyze and present periodical control reports

(iii) Internal controls

• Follow internal control and financial procedures.
• Ensure procurement as per the organisational policies
• Monitoring periodic financial reports from the implementing organisations;
• Oversee the maintenance of the inventory of all fixed assets, including assets purchased with organisational funds assuring all are in accordance with procurement policies and laws of the land.
• Assist in the maintenance and regular up-gradation of Organization’s Administrative system.

(iv) Programme Support
• Participate in developing new business, specifically in identifying new funding opportunities, the drafting of prospective programmatic budgets, and determining cost effectiveness of prospective programs;
• Provide the respective Programme Heads with an operating budget. Work to ensure programmatic success through cost analysis support, and compliance with all contractual and programmatic requirements;
• Periodic visit to the office of implementing agencies as and when required;

B. Administrative Responsibilities

• Handling calls & queries, handling EPBX, Fax, maintaining all incoming and outgoing mail/courier records
• Assisting in day to day admin functions including overseeing and co-ordinating office administrative procedures and review, evaluate and implement new procedures
• Handling house-keeping issues and record of inventory purchased, maintaining and monitoring of office vehicle(s) and its use in cost effective manner.
• Liaison with concerned service providers in order to maintenance of office assets viz., telephone, fax, photocopier, computers, printers, etc.
• Liaison with logistical service providers such as hotels, courier, freight & forwarding, packaging, tours & travel, office stationary & supplies etc
• Organizing workshops, seminars, training & meetings as and when required.
• Coordinating and maintaining database of all the vendors & suppliers
• Providing secretarial support in preparation of documents, reports, etc. on issues related to overall affairs of Solidaridad
• Coordinating staff travel arrangement for both in city and out city travels
• Ensuring timely verification and submission of bills of administrative expenses viz., telephone, mobile, electricity etc.
• Liaise with Government officials /departments and all other concerned agencies.
• All other duties/tasks as assigned by supervisors and the management from time to time
• Supervising IT related work in close coordination with IT consultants.

Key skills and Competencies:

The incumbent must have proficient knowledge in the following areas:

• Generally accepted accounting principles, computerized accounting programs, preparation of financial statements, preparation of periodic financial reports, administration of employee benefits, payroll systems and reporting, office administration, understanding of relevant legislation, policies and procedures.
• S/he should have good organisational awareness and understanding of the significance of financial information for management decisions.
• Strong analytical skills
• Strong interpersonal skills and ability to communicate both verbally and in writing, coupled with the professional credibility required to influence and motivate others.
• Proven experience of working in a multi-site organization.
• Timely completion of all the activities / operations, for various functions
• Ability to deal with difficult situations and use judgment to solve problems.
• Knowledge and experience of information management systems and policies and/or legal and ethical compliances (e.g. FCRA) and/or administrative and infrastructure processes.

Qualifications, Experience

• Post Graduate in Commerce or similar education in finance and accounting with minimum 6 years of relevant experience out of which two years of working experience in non-profit sector.
• S/he will have strong accounting knowledge and administrative skills and ability to manage and work with a small but diverse team.
