Reporting to: Associate Director
Reporting directly to the Associate Director, the Administration and Accounts Manager will need to be based in Bangalore and will be ensuring the smooth functioning of the organization's administrative and financial operations.
Key Roles and Responsibilities
Administrative Tasks –
Office Management: - Oversee daily office operations, including facility management, procurement of office supplies, and
maintenance of office infrastructure. Ensure adherence to organizational policies and procedures in administrative tasks.
HR Administration: -
Manage employee records, including attendance, leave and payroll
Compliance & Legal: - -
Ensure the organization complies with all legal and regulatory requirements, including labour laws, statutory filings, and NGO-related regulations. Liaise with legal advisors for any necessary compliance or legal matters. -
Event & Travel Management: -
Plan and organize meetings, workshops, and events, including logistics, travel arrangements, and
accommodation for staff and guests. -
Handle travel bookings and itinerary planning for staff as needed.
Stakeholder Management: -
Act as a point of contact for financial and administrative queries from staff, donors, and external
partners.
Accounts Tasks –
Financial Management: - -
Oversee the organization's financial operations, including budgeting, forecasting, and financial planning.
Prepare and present financial reports to the management and board of directors.
Accounting: - -
Maintain accurate and up-to-date financial records, including ledgers, journals, and bank reconciliations.
Manage accounts payable and receivable, ensuring timely processing of invoices and payments.
Fund Management: - -
Monitor the utilization of funds and ensure that expenditures align with the budget and donor requirements.
Prepare financial statements and reports for donors, ensuring transparency and accountability.
Audit & Compliance: -
Coordinate internal and external audits, ensuring that all financial records and transactions are compliant with regulatory standards.
Implement and maintain internal controls to safeguard the organization’s assets.
Taxation: -
Handle all tax-related matters, including the preparation and filing of tax returns, and ensure compliance with relevant tax laws and regulations.
Ensure timely and accurate GST, TDS, and other statutory filings.
Reporting: -
Prepare and submit regular reports on financial and administrative matters to the senior management. Provide insights and recommendations based on financial data and administrative observations to
improve organizational efficiency.
Mandatory Requirement: - Bachelor’s degree in Business Administration, Commerce, Accounting, or a related field. A Master’s degree
or professional certification (e.g., CA, MBA) is preferred. - Minimum of 5-7 years of experience in administration and accounts management, preferably in the NGO
sector. - Proficiency in accounting software (e.g., Tally, QuickBooks) and MS Office ang google sheets. - Strong knowledge of Indian accounting standards, NGO compliance regulations, and tax laws. - Excellent organizational, communication, and interpersonal skills. - Ability to work independently and handle multiple tasks in a dynamic environment.
