About Job:

“Governance & Finance officer” will be responsible for the overall governance & finance management of the organization. Budgeting, forecasting, finance controlling, lead the HR, Admin, and accounts. Also responsible to finance and governance reporting and compliance for the FCRA, Society registration, Income tax, Provident funds, Professional tax etc. Governance & Finance officer responsible for this area of the organization 1) finance, Budgeting & Accounts, 2) operations, including human resources and IT, and 3) Governance.4) Lead the Admin 5) Management (Assets, office, reporting etc.) Overall Accounting; Governance; Statutory Compliances; Managing the Budgets; Controls; Cash Flow; Fund Management; Investments; Projections; Audits; Adherence to Board / Audit Committee Requirements; Financial well-being; Productivity Management; Performance Management; Annual Budgets and Controls; Annual Statutory and Internal Audits; Process Audits; Financial Projections and People Management etc. - S/he will be a senior member of the Management and work very closely with all Leadership Team Members and Board Members in ensuring financial discipline and governance for the Foundation.

Experience required:

5-8 year experience required for the governance & finance related work especially in NGOs.

Skills required:

Excellency in Tally work (Cost Centre, Budgeting, Audit, addons), Execele, PowerPoints, use of AI, Expert in Budget making, costing, Reporting, procurement expertise, and other management skill, etc. For governance Knowledge about organize board meeting, writing meeting minutes, FCRA and other income tax rules and filings, PF challan generate, payment etc.

Details Job responsibility:

BUDGETING & FINANCIAL PLANNING & ANALYSIS (FPA) :

1. Formulating budgets and conducting variance analysis to determine difference between projected & actual results and implementing corrective actions and cost controls.

2. Establishing a strategic cost management system for monitoring various overheads and devising product costing techniques.

3. Generating various MIS reports & monitoring movement of key business indicators viz. Debtors Control & Fund Flow Management, costs & inventory management to facilitate the decision-making process.

4. Financial planning & analysis, Budgeting & Finance control: Create, coordinate, and evaluate the financial programs of the foundation and implement sound financial planning, budgeting, tax planning, and asset management practices.

5. Formulating Annual Budgets (Operating and Capex) across the SYNERGY SANSTHAN’s Programs.

6. Review on a periodic basis financial performance and provide Forecast for the year; Provide scenario analysis for various options / strategies provided by management.

7. Developing mitigation strategy of projects risk through project short term & long-term liquidity requirements.

FUND MANAGEMENT & FINANCIAL ACCOUNTING:

8. Screening new projects from pre-sanctioned stage and conducting feasibility studies to determine the financial viability of new ventures, projecting cash flow and growth opportunities.

9. Liaising with financial institutions and Banks for raising fund and non-fund-based facilities at favourable terms to meet working capital & term loan requirements for the projects. Dealing with banks on pre and post sanction formalities and routine matters based on Organizational needs.

10. Capital expenditure plan and analyzing the variance, if any.

11. Fund position on a regular basis to ensure proper and effective utilization of available resources to maximize returns.

12. Directly over-arching management of working capital & project capital ,keeping in mind requirements of various stakeholders in the foundation.

13. Preparation of Financial Modelling, Project Reports for new projects & Expansions, Manage all activities connected to funding tie-up & financial closure, up to disbursement.

14. Liaison with regulatory authorities for sanctions & approval.

15. Cash Credit limit operations for Stock and Book Debts, Drawing power adjustments, if any.

16. Designing and implementing systems & procedures; supervising the consolidation of group accounts and financial statements as per Indian standards.

17. Analyzing Financial Statements, viz. Ratio Analysis, Fund Flow and Cash Flow Statement; involved in Inventory Control, Stock Aging Analysis and Store Accounting.

18. Compliance of the Accounting Standards applicable to Society and Finalization of accounts in accordance with Indian ACCOUNTIG STATNDERS.

19. Leadership in cloure of month, quarter and year end accounting and limited reviews.

AUDIT MANAGEMENT :

20. Performing analytical review of financial statements and evaluation of internal control systems for carrying out internal audits.

21. Ensuring maintenance of proper records as per the requirements for audit and finalization of accounts within time bound schedules.

22. Providing relevant data as required by the concerned auditors.

23. Oversee Statutory and Internal audit obligations. Interface and address Audit Committees and Board requirements accordingly.

24. Leading the team for completion of Audit of all accounts and ensures that accounts are audited and signed within first month following closure of books.

25. Coordinating the internal audits and assisting Management in review of internal audit reports.

26. Assisting the Management in review of statutory accounts.

27. Liasoning with statutory/ internal auditors for timely completion of audits, reviews, review and implementation of audit observations.

COSTING & MANAGEMENT ACCOUNTING :

28. Compiling and prepring cost and performance reports as per cost accounting records rule, cost benefit analysis and critical analysis of cost reports, inventory management.

29. Maintenance of all costing records as may be appliable to each Program including cost per Youth, Adolescents, child; per person etc.

30. Cost Control through Budgetary control ,Standard costing an variance analysis.

31. Designing the advanced costing techniques like Activity Based Costing, Target Costing

32. Developing the cost centers and analysis of the expenditure cost center wise.

SYSTEMS DEVELOPMENT & STRATEGIC :

PARTNERSHIP :

33. Preparation of Income & Expenditure Review for Management on a monthly, quarterly and annual basis.

34. Presentation of Strategic work review on monthly, quarterly to the Management & Board.

35. Assist the Management in decision making process involving financial implications or otherwise.

36. Develop strong relationships with the other partners and other key players to obtain insights into work needs.

37. Assess and develop alternative strategies to minimize overall society Tax and cost saving opportunities.

38. Advice on hedging strategies for Forex, optimal cash management investment of surplus funds.

39. Representation / co-ordination with tax departments, banks, auditors, insurance companies etc.

40. Interface with other NGOs on finance related matters. Represent the organizational externally to government agencies, funding agencies, and the general public, as and when required and authorized.

41. Conceptualize, create and implement a strong risk management function and culture within the foundation.

42. Serve on planning and policy-making committees

43. Studying and analyzing the processes and developing new systems commensurate with the requirements.

44. Implementing new procedures and systems resulting in increase of income of the organization and reduction in operational expenses.

Governance and Ethics

45. Ensure sound, ethical governance procedures that are documented and followed.

46. Oversee the system for governance recordkeeping (internal) and government registrations and tax filings (external).

47. Ensure governance meetings are well-organized and supported.

48. Work with the CEO and Board of Trustees to maintain and strengthen governance networks.

49. Keep current on best practices for NGOs and social enterprises; maintain and utilize networks that can advise programs and enterprises, especially in areas where governance and ethics are evolving.
