Role Title: Administrative and Finance Associate

Location: Udham Singh Nagar, Uttarakhand

Reporting To: Senior Specialist - AYP

Field Project Based

Our programs focus on increasing educational and livelihood opportunities for adolescent girls, ensuring access to lifesaving reproductive health information and services, and strengthening ability to become leaders in their communities and in governance.

KEY ROLES & RESPONSIBILITIES:

• Provide logistical, administrative and financial support and follow-up for substantive meetings organized by C3 State and Delhi Office

• Organize conferences and Provide IT support to the state office and maintain all IT equipment.

• Review incoming correspondence, collect and prepare necessary information for reply/action, and draft and finalize responses;

• Provide program and administrative logistical support including vendor management.

• Manage travel/hotel bookings and other related matter of C3 staff and visitors.

• Maintain all office records, files and office correspondence.

• Manage petty cash for the state office and prepare SOE for the same.

• Maintain financial records and prepare financial reports.

• Ensure and supervise all housekeeping duties and office assistants.

• Facilitate meetings and events and provide necessary support as required.

• Undertake field travel for training and program monitoring as necessary.

• To verify all bills/ invoices/ claims / sub-grantees financial report and fund request before sending the same to Delhi office. To check that all the required supporting is attached with the bills

• Attendance sheet for all training programs / workshop etc. are attached with the claims.

• Verify rate of vendors and suggest any changes if needs to be done

• To support Program Officer and other staff members/ full time consultant in District Office on all financial matters including preparation of budgets etc.

• To keep a record of all the bills etc. submitted to Delhi office and to track the same for its payments with colleagues in New Delhi

• To verify inventory records at District Office.

• To keep track of due dates of all financials reports to be submitted by sub-grantees as per agreed sub-grant agreement.

• To visit the sub-grantees, whenever needed, to verify their books of accounts and other financial records and policies to make sure that it is in order and matches with the financial reports submitted by the respective sub-grantees.

• Handle petty cash transactions and submit the report along with original bills to Delhi office.

• Assist State head in making presentation, reports, data sheets etc

• Undertake any other activities/responsibilities as given by the Local Team or from the New Delhi Office.

Note: The roles and responsibilities mentioned above are not exhaustive. Role holder will be guided to perform different tasks as necessitated by changing role within the organization and the overall objectives.

Required Qualifications & Skills:

• Graduate/Post Graduate degree in Commerce or Management or Social Sciences

• Diploma in Computer Application.

• Minimum 2-3 years in social sector or corporate

• Proficient in Tally, maintaining Invoice, bills, petty cash, Excel and releasing payments.

• Proficient in maintaining account details/records, vendor empanelment/management.

• Practical understanding of Statutory mandates as per regulations.

• Efficient writing email (Hindi and English)

• Proficiency in MS word, PowerPoint and excel

• The position will report to Senior Specialist - AYP and dotted line reporting Admin & Procurement Officer and Senior Officer - Finance at New Delhi. The offer made to the selected candidate shall be commensurate with qualifications, experience and salary history.
