Job Summary

This position is responsible for managing complete AP Process, Accounting & Archiving, complete Audit Process, and coordination with Ops team on all AP & compliance matters, banking, Moneth and . Managing communication within the internal team and external team and other related finance and accounting activities.

Key Responsibilities

ACCOUNTING, DOCUMENTATION MANAGEMENT & REPORTING

• Lead the day-to-day accounting process and record keeping along with the team & make sure organizational standard are maintained.

• Ensuring recording of financial transactions in Accounting software and archiving of accounting records following accounting procedures and support Finance team in it

• Having Experience of working with different Cost Centres , CoA and Excellent skills in any of accounting software

• Checking verification of claims as per the approved organizational policy and process

• Obtain, analyse, and evaluate accounting documentation, previous reports, data, flowcharts etc & maintenance of Fixed Assets register.

• Identify loopholes and recommend risk aversion measures and cost savings. Take a lead on the improvement areas for accounting and bookkeeping and work on innovative solutions

• Engage to continuous knowledge development regarding development sector’s rules, regulations, best practices, tools, techniques, and performance standards

• To implement accounting systems and practices, while ensuring compliance to organization’s policies and donors as well as statutory requirements.

• To monitor and proactively highlight deviations/ variances from the Organization’s financial/ accounting systems and procedures. To provide support for implementing corrective measures, as required.

• Responsible for maintaining accounting records as per established procedure and requirements

• Manage cash flow and liquidity to meet operational needs and monitor bank reconciliation and track on it.

• Responsible to complete the monthly reconciliation and month end/Year end closing process within due dates as per prescribed standard by DG.

ACCOUNT PAYABLE SYSTEM

• The person will be responsible for entire Account payable process and ensuring accurate, timely payments , internal polices, compliances applicability and deduction of statutory tax if applicable.

• Use platform for communication to the respective vendors/staff etc for timely initiation on any issue on submit document/ payment confirmation and adjustment/deductions if any.

• Coordinate with Operation team to get Non Due Certificate from Vendors on Quartley basis.

COMPLIANCE AND AUDIT

• Ensure financial and accounting transactions at Digital Green are compliant with statutory rules and regulations (FCRA, Income Tax, RBI Rules, Companies Act,labour Law,PF.ESI,PT etc.)

• Good understanding of the principles/ practices of accounting, and financial reporting as well as of local statutory requirements for international NGOs

• Ensure compliance with local financial regulations and reporting requirements, should understand NGO’s compliance requirements in India.

• Provide support for meeting statutory requirements as well as adherence to organizational and donor requirements

• Ensure timely payments of all statutory dues PF, TDS, PT and any other dues and record systematic record base for all these.

• Compilation of Quarterly TDS and coordinating with CA for getting it certified and timely filing of the returns.

• Arranging Form 16 & 16A for staff and vendors in coordination with the CA firm and also supporting the staff members with regard to individual PF related issues.

• provide support for completion of external and internal audits by providing information in a timely manner

• Timely intimation and action of any non-complied or any other issue highlighted during audits, month end closure

• Quartley review of online documentations , FAR reconciliation with operation team. Partner with Ops team to make sure all the organizational policy and processes are followed

• Ensure donor compliance are fulfilled with the help of grants team

• Assist in the preparation for internal and external audits. And ensure timely submission of requirement to relevant auditors and team.

• Implement internal controls to safeguard organizational assets and prevent fraud.

MANAGING AND LIAISON WITH DIFFERENT STAKEHOLDERS

• Responsible to coordinate with different departments and assure responses to the queries and concerns in a timely manner

• Ensure the banking systems and setup adhere to the DG standard and will be communicating with the bank on technical and other matters to ensure the finance system runs well.

• Responsible to respond to inquiries from statutory auditors and donors with expertise, and able to advise the line manager in doing so.

• Possessing expertise in handling various software (accounting software and related softwares) to resolve technical problems and obstacles.

FINANCIAL REPORTING & PLANNING

• ssist team in all kinds of financial reporting and make sure quality of data are available for reporting purposes.

• Prepare first level of draft monthly reporting for Finance & Accounts team.

• Assist in the preparation of annual org budgets and financial reports against the annual budget.

• Work on the improvement areas to evolve the innovative reporting templates for management purposes.

• To regularly update the financial database.

• To ensure strong documentation and proper recordkeeping for all financial transactions and accounting activities.

• Timely support to grant team for providing data and clarity on the expenses as and when required.

• Domestic travel to different project offices and states for finance support and Quartley review meetings.

TEAM MANAGEMENT & CAPACITY BUILDING

• Lead a team of 3-4, provide mentorship and on job training to the team.

• Provide training and support to staff members on financial policies, procedures, and systems.

• Build the financial management capacity of the team members and field offices ops staffs.

Any other task as delegated by the supervisor or management.

Qualifications

• At least a Master’s degree in fields such as Business Administration, Finance, Economics or Semi Qualified CA.

• At least 5-8 years of experience in the development sector with a keen understanding of NGO compliances.

• Knowledge and experience of internal & external audit management

• Should understand statutory and donor compliances.

• Strong analytical and problem-solving skills

• Team management skills key to success in this role

• Strong communication and interpersonal skills

• Technical expertise and familiarity with relevant financial software and tools

• Expertise in MS-office and having basic knowledge of AI tools .& Skills
