Job Description

Purpose: Efficient management of material - movable and immovable assets, arrange logistics & timely legal compliance by the organization

Reporting to: The Director

Responsibilities:

As approved by the Board and Director, the Finance cum Administrative Officer shall be responsible for the following:

• Ensure upkeep of the Approval Letters in original from donor organizations/individuals, of the projects. The copies are kept in the centralized file cabin.

• For repairs and maintenance of building and other infrastructure of all the organization from time to time, with the necessary approvals and suggestions from competent authority

• Make payment in time of various taxes and bills: electricity, water, telephone, rent of buildings, etc. For. Renewing insurance/annual maintenance contracts in time which need insurance and annual maintenance.

• Make payment of bills to various firms and shops within the stipulated time, keeping up the reputation of the organization.

• Safekeeping of all the records and documents, pertaining directly to the organization, related to Society Registration, Income Tax, Correspondences with the Municipal Corporation, State Government, Central Government, contractors, vendors etc

• Collaborating with the Finance Team to maintain Stock/Store/Inventory.

• Prepare annual budgeting (Administration)

• Overseeing the purchase and timely distribution of materials to the respective team and the office.

• Responsible for construction or repair works of the organization in consultation with the Director or the concerned Programme Manager.

• Responsible for arranging logistics for the visitors

• Responsible to implement the purchase, printing, etc., with the approval from the Concerned

• Responsible to call for tenders (minimum 3) and fix the quotations tenders in accordance with the finance manual of the organization and implement the decision as approved by the Purchase Committee.

• Responsible to upkeep important files, registers and documents of the organization

• Responsible for bio-metrics, CCTV Camera, attendance of the staff

• Arrange travel and accommodation for the visitors

• Responsible for arranging transportation for the visitors and the staff.

• Responsible for booking the tickets both flight, train and bus as the case may be.

• Responsible for petty cash and imprest of MKT.

• Any other tasks assigned by the Director
