Job title: Sponsorship Officer Department: Marketing & Resource Mobilisation

Location : Lucknow, Uttar Pradesh Travel: 50 % in the field

Reporting to: Senior Manager – Child Sponsorship Grade: B

Level Of Contact With Children: 1 (Direct contact with children)

The position holder shall be responsible to adhere & work within the ambit of Plan India’s Safeguarding & Gender Equality Policies.

AN OVERVIEW

Plan International (India Chapter) works in communities of India primarily through sponsorship. There are over a million individual sponsors from 15 National Offices of Plan around the world. Plan’s efforts are to build long-lasting, engaging relationships among children and the sponsored communities. The overall objective is to facilitate the space required for children to participate in promoting global solidarity on issues concerning the rights of children. There are over 50,000 + sponsored children in India with Plan whose representative voices will provide a picture of life in India and their development to the sponsors.

ABOUT THE ROLE:

The job of the sponsorship officer will be to support the Program Units of Plan India to effectively use and manage the sponsorship systems of Plan, monitor their performance, assist in the management of the sponsorship database at the Country Office, and facilitate Program Units ensuring quality communications to sponsors.

ROLES & RESPONSIBILITIES :

• Cross-verification of the information of SCI/SCU including the quality photographs received from SBVMs to ensure all the communications & photographs should go error-free within the deadline and adhering to Plan India children and youth safeguarding policy.

• Updating Sponsored children’s information on a yearly basis.

• Keeping SC/family photos including other Sponsorship communication record/registers safe and secure as per data protection policy.

• Follow up with SBVMs/ Community Mobilisers for the due communications adhering to timeline

• Visiting sponsored children and families for data validation of SC communication and program participation.

• Prepare cancellation proposals and send it to the PU Sponsorship colleague for consolidation and further processing

• Based on the report by the concerned SBVM, prepare, SCCDR for the children whose communication is due but they are out of the community for some reason.

• Prepare the Cancellation/Graduation proposals.

• Process the digital communication in with CDPET,

• Ensure the gifts and letters from the Sponsors are reached to the beneficiaries/SC & family through SBVMs.

• Respond to National Office Enquiry adhering to the timeline in consultation with the Program unit manager

• Attend training/meetings conducted by CO sponsorship team and ensure the same is disseminated in the field.

• Capacity building of sponsorship team on new sponsorship business processes, preparing documents/compliances adhering to timeline and facilitating the program team in sponsor visit adhering to the SP visit policy & guidelines in coordination with sponsorship coordinator.

• Meeting /training on Sponsorship business process at the community level and for the field team.

• Prepare Monthly Operation Report (MOR) and share it with the Sponsorship department ICO on regular basis in absence of a sponsorship coordinator.

• Ensure at least 95% sponsorship compliance of sponsorship communications as per commitment across the year.

• Ensure 100% of the communications from the sponsors to their sponsored children and vice versa are checked for quality as per the guideline provided by the country sponsorship team.

• Responsible for new enrolment of SC (phase-in) and graduation process (phase-out) at the community level in coordination with the sponsorship coordinator.

CORE COMPETENCIES :

• Good understanding of Plan India’s programs and Sponsorship processes

• Good working knowledge of computers

• Reasonable expertise in developing sponsorship communications for field-level PU Staff and a fair understanding of systems

• Ability to monitor and follow up sponsorship systems and processes effectively

• Ability to work strategically in the team and complete the task within the given timeline

• Comfortable undertaking travel and field-level sponsorship activities in case of urgency.

• Communicate effectively with sponsored children and families and able to facilitate PU staff on Sponsor visits to the program area.

QUALIFICATION & PREFERRED EXPERIENCE :

• Preferably a Master in Social Work/Social Science/ Communication with a minimum of three years of work experience;

• Experience of working with children and in sponsorship-based operations will be preferred;
