PURPOSE OF THE JOB
• Maximizing the impact and efficiency of VIPASANA program delivery by addressing resource needs and priorities through effective allocation and management of resources to NuLit/VMC centers.
• Fostering collaboration with internal teams to contribute to the organization’s overarching strategy of providing quality education to underprivileged communities.
Capacity Planning:
• Forecast the need for teachers and other resources by considering program calendar, enrollment projections, demand in a location and center requirements.
• Develop plans to ensure adequate number of teachers are available when needed, deploying them at appropriate centers and in preferred locations.
Resource Allocation:
• Identify resource requirements at NuLit/VMC centers based on list of approved schools, UPASANA trainee feedback, location preferences, and program needs.
• Actively identify suitable teachers, external assessors & trainers for UPASANA & VIPASANA in collaboration with the customer acquisition & marketing team.
• Allocate teachers, equipment, teaching learning materials, and infrastructure to designated centers promptly and efficiently.
• Oversee that the workflow information management system (EPFuture) is updated accurately.
• Work with academic team in scheduling pre-assessment at NuLit centers on completion of the training program.
• Ensure that allocated resources align with the specific requirements for the center and in enabling livelihoods.
• Work closely with various teams, including:
Customer Acquisition team: Receive school list, understand resource requirements, special instructions
and priorities.
Delivery team: Align resource allocation with program goals.
Admin Team: Coordinate logistical and infrastructure support.
External Stakeholders: Facilitate partnerships and resource sharing.
• Oversee and support in identification of volunteers to conduct random assessments and DRAs; Collaborate with academic team for availability of assessments and rubrics on time and with Program Manager to complete assessments on time across Centers.
• Foster positive relationships and effective communication across teams.
Resource Optimization:
• Schedule and track teacher utilization and performance metrics to identify trends, patterns, and potential bottlenecks through the workflow information management system.
• Make data-driven decisions to ensure effective and efficient resource allocation and utilization.
• Implement strategies and streamline processes within the function.
• Ensure that the VIPASANA Program delivery team has all resources required for smooth implementation across Centers.
Conflict Resolution:
• Proactively identify and address conflicts related to allocation, scheduling, or other competing priorities.
• Collaborate with relevant stakeholders such as customer acquisition & partnerships, VIPASANA delivery, Admin and teachers to find equitable solutions.
• Implement preventive measures to minimize disruptions to program delivery.
Reporting & Documentation:
• Create & maintain records of resource allocations, and utilization for each center on the workflow information management system.
• Share regular status reports, analyses of utilization, and teacher feedback reports.
• Ensure compliance with organizational standards and guidelines for documentation.
• Participate in the review meetings between teachers, delivery and academic teams on progress of the academic sessions, efficacy of activities delivered, feedback from parents, school and students.
